Overview:

Formed by Vikki Stewart in 2007, Media Confidential is a Executive Assistant support business providing bespoke services for Non-Executive Directors/Chairs who have moved on from a single executive role and no longer have the luxury of a full-time assistant, despite their continuing busy schedules. We also provide support to entrepreneurs, start-ups, consultants and speakers.

The current team of 10 are the Founder/MD, CFO, 6 EAs, a bookkeeper and a team administrator who all work remotely and are based in the UK.

Executive Assistant Job description:

We are a small, friendly, experienced and motivated team who become an essential support for our clients in both their business and personal lives. For each of our people, this creates a varied and fulfilling role, working remotely from home full-time, as part of a team of supportive colleagues.

Given the nature of the role and the calibre of the clientele, it is necessary for our EAs to adopt a flexible approach to working, including the monitoring of their allocated client inboxes and responding in a timely manner; this may include out of hours work in case of any urgent support requirements (just as would be the case when working as a senior EA in an office for one principal) as well as providing support to other EAs clients when they are offline (e.g. holiday cover). Each EA is matched with their clients by the MD. Each EA is supporting multiple clients. Each client has a dedicated EA.

Responsibilities include:

·        Organising and maintaining multiple client diaries, coordinating appointments

·        Diary management across multiple time zones

·        Arranging business and personal travel, visas, and accommodation

·        Inbox management

·        Expenses claims

·        Keeping biographies up to date

·        Liaising with organisers at conferences and events for speaking engagements

·        Being available and flexible to help with other requests

Person Specification:

The ideal candidate will have at least five years senior EA/PA experience, managing active diaries in and around Central London, arranging complex international travel schedules. They will be a pro-active, adaptable, self-motivated, highly organised multi-tasker with the ability to work calmly and sensibly under pressure.

Excellent communication and interpersonal skills, both written and spoken are necessary, along with real attention to detail, a mature attitude, and a positive approach to working. Our people need to be highly proactive and always one step ahead, confident in their own abilities, sharp and ‘on-it’. They will need to use their own judgment to make decisions and learn to pre-empt the needs of their clients.

A commitment to ‘super-serve’ is essential, providing a ‘white glove’ service to our clients, recognising that this may mean adapting your day and priorities around the needs of your clients and your fellow team members, always working with the utmost discretion and professionalism.

The candidate must also have strong technical skills across multiple platforms and be able to adapt to clients who are not always very tech savvy. A strong knowledge of G-Suite and Office 365 are essential.

In short, your clients will not expect a part-time service, but one that matches your previous experience working as a senior Personal/Executive Assistant.

Employment Type:

Full time/PAYE and on call for your clients out of hours/weekends.

Remote working from home (kit provided).

Rate of pay: Between £18 and £24 per hour, subject to experience.

Holiday allowance: 25 days per annum plus UK bank holidays.

Interview:

As part of our interview process, you will be invited to perform a skills test. If successful, you will be required to travel to Poole in Dorset for a 4-day induction (hotel and travel costs covered).
