Position Overview: Elev8 Events is seeking a highly organized and proactive Remote Personal Assistant to provide comprehensive support to our Travel Department. The Remote Personal Assistant will play a crucial role in assisting travel advisors and executives in managing their schedules, coordinating travel arrangements, and ensuring the smooth operation of day-to-day activities. This position offers an exciting opportunity to be an integral part of our team and contribute to the success of our business. Key Responsibilities:

  • Schedule Management: Coordinate and manage the schedules and appointments of travel advisors and executives, ensuring optimal allocation of time and resources
  • Travel Coordination: Assist with the planning and coordination of travel arrangements, including booking flights, accommodations, transportation, and activities for clients and team members
  • Client Communication: Serve as a primary point of contact for clients, providing exceptional customer service and addressing inquiries and concerns related to travel arrangements
  • Administrative Support: Provide administrative assistance to the Travel Department, including organizing files, preparing documents, and managing correspondence
  • Calendar Management: Maintain accurate calendars for travel advisors and executives, scheduling appointments, meetings, and travel arrangements as needed
  • Expense Tracking: Assist in tracking and reconciling travel expenses, ensuring accuracy and compliance with company policies
  • Vendor Coordination: Liaise with hotels, airlines, tour operators, and other vendors to confirm bookings, resolve issues, and ensure seamless travel experiences for clients
  • Event Support: Provide support for travel-related events and promotions, assisting with logistics, planning, and on-site coordination as needed
  • Data Entry and Record-Keeping: Enter and maintain accurate records of client information, expenses, and travel bookings in databases and spreadsheets
  • Ad Hoc Tasks: Assist with special projects and tasks as assigned by management, demonstrating flexibility and adaptability to meet evolving business needs

Qualifications:

  • Previous experience as a personal assistant or executive assistant, preferably in the travel or hospitality industry
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor
  • Proficiency in Microsoft Office Suite and other relevant software applications
  • Ability to work independently with minimal supervision, as well as collaboratively as part of a team
  • A passion for travel and a commitment to delivering exceptional service and experiences to our clients
