As we continue to grow, we are looking for an organized, proactive, and dependable Scheduler to join our remote team. Position Overview We are seeking a motivated and detail-driven Scheduler to manage appointments, meetings, and events for our internal teams and clients. This remote position requires excellent time management, strong communication skills, and a knack for juggling multiple tasks at once. As a Scheduler at Arch Capital, Inc., you will play a key role in ensuring our team operates smoothly by coordinating and managing schedules effectively. Key Responsibilities

  • Coordinate and schedule internal and client meetings, ensuring the right resources are available and times are optimal.
  • Manage and update calendars for multiple team members, including executives and department heads.
  • Confirm appointments and meeting details, ensuring all participants are informed and prepared.
  • Handle scheduling conflicts and adjust appointments or meetings as needed, keeping all parties informed.
  • Organize and prioritize urgent appointments or requests, ensuring all deadlines are met.
  • Communicate with team members, clients, and external vendors to ensure the timely scheduling of meetings, interviews, and conferences.
  • Maintain and organize detailed records of scheduled appointments, including meeting agendas, locations (virtual or physical), and relevant documentation.
  • Assist with rescheduling or canceling meetings and ensure all parties are notified in a timely manner.
  • Monitor the team’s availability and suggest the most efficient use of time for meetings.
  • Ensure seamless communication between departments, helping facilitate a smooth workflow and reducing scheduling conflicts.
  • Assist with travel arrangements for key team members as needed, including booking flights and accommodations.

Qualifications

  • Proven experience as a scheduler, administrative assistant, or similar role.
  • Strong proficiency in calendar management and scheduling tools (Google Calendar, Outlook, Calendly, etc.).
  • Excellent communication skills, both written and verbal, to interact with internal teams and external clients.
  • Highly organized with the ability to manage multiple schedules and tasks simultaneously.
  • Strong attention to detail and ability to handle conflicting priorities.
  • Ability to work independently with minimal supervision in a remote setting.
  • Proficient in using office software (Microsoft Office Suite, Google Workspace, etc.).
  • Comfortable working with virtual meeting platforms (Zoom, Microsoft Teams, etc.).
  • Strong problem-solving skills and the ability to think quickly on your feet to resolve scheduling conflicts.

Preferred Qualifications

  • Previous experience in a remote work environment.
  • Familiarity with project management tools (e.g., Trello, Asana) is a plus.
  • Knowledge of the financial services industry is advantageous but not required.
