Client Information The Client is currently a PhD candidate at the School of Population Health, focusing on food safety research. With a solid background in property investment, the owner specializes in risk analysis, identifying value, and developing strategic solutions—whether it involves advancing food safety through research or optimizing properties for profit. The owner excels in problem-solving and delivering tangible results in both food safety and real estate. Additionally, they are seeking assistance to help stay organized and manage their administrative tasks more efficiently. Job DescriptionAbout the Role: The Owner is seeking a highly organized and proactive Administrative Assistant to provide part-time support with both professional and personal tasks. This role is perfect for someone who thrives on a varied workload, can work independently, and has exceptional attention to detail. The position is remote, with daily meetings via video call. Key ResponsibilitiesOrganization & Accountability:
- Conduct daily check-ins to outline priorities for the day, week, and month ahead.
- Track and manage tasks to ensure efficient completion.
- Provide body-doubling support to help the owner stay on track and maintain focus.
- Capture ideas and send voice/text notes for documentation.
Administrative & Financial Management
- Manage calendars, appointments, and scheduling to ensure efficiency.
- Track and categorize expenses (business vs. personal), and manage receipts and financial documentation.
- Handle email management—training to categorize and respond to emails.
- Assist with property-related tasks, including liaising with agents, contractors, and suppliers.
- Conduct research using RP data and compile reports to support decision-making (training videos available to master this task).
- Oversee administrative duties, including filing and expense tracking.
- Background in using AI tools.
Personal & Professional Support
- Organize travel arrangements, including booking flights, accommodation, and transport.
- Manage personal errands, such as online grocery shopping, event planning, and household coordination.
- Maintain confidentiality and handle sensitive information with discretion.
- Create systems tailored to the working relationship to carry out the above tasks effectively.
Must Haves
- Previous experience as a Lifestyle Manager, Personal Assistant, Executive Assistant, or in a similar role.
- Strong organizational and time-management skills.
- Flexibility to adjust working hours to suit our working relationship.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office, Google Suite, and scheduling software.
- Ability to work independently and anticipate needs.
- experience using AI technologies
- Problem-solving mindset with a high level of discretion and professionalism.
Nice to Haves
- A background in food safety, property, real estate, or project management is a plus.
- Knowledge of AI Tools
