Job Overview We are in search of a meticulous and highly organized Agency Administrator to facilitate the efficient day-to-day operations of our remote office. This pivotal role involves overseeing various administrative tasks, managing correspondence, coordinating meetings and travel logistics, and ensuring the accuracy of record-keeping. The ideal candidate is proactive, possesses exceptional communication skills, and is adept at utilizing office management tools such as MS Excel.   • Promptly answer phone calls and expertly direct inquiries to the appropriate contacts.
  • Track the locations of staff and provide accurate contact information as required.
  • Process requests for policy and endorsement forms, as well as inquiries regarding Insured Closing Letters.
  • Follow up with agents regarding remittance reminders and manage agent statements.
  • Pre-process title policy reports, submit them to corporate, and coordinate payments with accounts receivable.
  • Draft, edit, and manage letters, memos, faxes, emails, and reports.
  • Maintain organized filing systems and oversee the distribution of documents.
  • Schedule meetings, reserve conference rooms, and arrange catering as necessary.
  • Sort, open, and distribute incoming mail and manage outgoing correspondence.
  • Coordinate courier and overnight mail services.
  • Order office supplies and research vendors for pricing optimization.
  • Manage expense reports, travel arrangements, and maintain updated contact lists.
  • Provide general support to visitors and serve as a liaison between internal and external clients.
  • Collaborate with senior administrative assistants to fulfill requests from leadership.

Required Skills

  • Proven experience as an administrative assistant, office administrator, or virtual assistant.
  • Strong organizational abilities and a capacity to effectively multitask.
  • Exceptional verbal and written communication skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Knowledge of office management systems and procedures.
  • Ability to manage sensitive information with the utmost discretion.
  • Self-motivated with a robust work ethic and problem-solving acumen.

Qualifications

  • High School diploma required; additional qualifications as an Administrative Assistant or Secretary will be an advantage.
